Meeting Minutes: 16 Oct, 2002

Hello EAPSters,

There was an EGSAC meeting this past Wednesday, the 16th, at 11:30 AM on
the 11th floor. As your faithful EGSAC secretary, I kept a running diary.
Here's what transpired:

1. We talked about a few past and upcoming social events. The Long Pond
weekend was a great success with about 20 people attending, while a crowd
of almost 50 went to Cirque du Soleil. The trip to see Under Milk Wood
also went well, and about 35 people are planning to attend the flamenco
concert (or did this already happen?). Future events include the raga
concert this weekend (contact Payal, parekh@pimms.mit.edu), perhaps a trip
to see an ART play when their season starts, and definitely a trip to see
The Core when it comes out. (Lindsay is VERY excited about this.) Thanks
to Payal for making a lot of these events happen. Want to organize an
event? Fabulous - contact Lindsay (schoenbl@mit.edu) or Jenny, the
treasurer (jpmatzel@mit.edu).

2. Budget - we went over budget on Long Pond (~ $1000 as opposed to $500)
but we're not going to worry about this too much. We will continue to
re-assess our budget situation on an as-needed basis.

3. Policies on EGSAC events - these will be posted on the web page soon.
The policy on planning events continues to be that the planned event must
have substantial interest, it must be advertised in advance, and must be
open to all (more on this later). EGSAC will contribute $200 or half the
ticket price, whichever is less. All EAPS grad students, AS WELL AS EAPS
UNDERGRADS AND POSTDOCS, are welcome to attend events and may bring 1
guest at the subsidized ticket price. Additional guests are welcome but
will not be subsidized.

4. However, while we're on the subject of undergrads attending EAPS
events, John Politano has expressed concern about undergraduates who are
not of legal drinking age attending Peer Hour. We will be more careful in
the future about not advertising Peer Hour to under-21's. Lindsay will
check out who is on the eapsstudents list to make sure younguns are not
getting Peer Hour emails. Please - if you are under 21, don't come to Peer
Hour, as we could potentially get in some trouble for this.

5. We need to start thinking about organizing the EAPS winter ski trip,
which traditionally takes place over President's Day weekend. Kerim
graciously agreed to organize this event. If you'd like to help him
organize, shoot him an email (kerim@mit.edu).

6. We talked about some GSC matters, most notably the recent GSC vote not
to support an income tax exemption for graduate and professional students.
Any questions or comments on this, email me (mlong@mit.edu) or Fabio
(fdalan@mit.edu) and we'd be happy to discuss it with you. Also, I'll be
in Holland next month, so Lindsay is going to attend the November GSC
meeting for me. Somebody will also have to take over secretary duties at
the next EGSAC meeting.

7. We briefly talked about EAPS-related activities for IAP - does anyone
want to get some sort of lecture/demo type thingy organized? I think that
the person to contact is probably Vicki McKenna (vsm@mit.edu) but I think
that Lindsay (schoenbl@mit.edu) also has some info.

8. The EAPS Phonathon is this coming Monday, the 21st. The Phonathon helps
to raise money for super-important things like the EGSAC budget. Please
consider helping out!! Email Vicki (vsm@mit.edu) to volunteer.

9. If you haven't checked out the spiffy new EGSAC web page, definitely do
so! It's at http://eaps.mit.edu/egsac. If you haven't already, send your
completed web page template to Ben (mountain@mit.edu) so that you too can
have a claim to fame on the EGSAC web site. Thanks to Ben, who takes care
of the web page.

10. More on the ergonomics survey / proposal to EAPS at next month's
meeting. Stay tuned.

11. Finally, we ate delicious Bertucci's pizza. You too can chow down on
great free pizza - just come to the next EGSAC meeting, which will be held
on Monday, November 4 from 12-1. (By the way, we are changing the default
meeting time back to 12-1 from 11:30-12:30).

I hope everyone has a terrific weekend. Come to Peer Hour tonight (if
you're legal!!!).
